Shared workplace technology should have a written touch policy agreed by IT, facilities, and the equipment owner. Identify which devices cleaners may handle, which remain user-cleaned, and which require IT support. Managed laptops, docks, network equipment, audiovisual systems, access controls, and specialty hardware should never be treated like ordinary desktop surfaces.

Before powering down or disconnecting anything, follow the organization's IT procedure and the manufacturer's instructions. Some devices support active meetings, security, recording, remote work, or building systems and cannot be interrupted casually. If authorization is unclear, clean around the equipment and report the issue instead.

For compatible screens, begin with a clean, dry microfiber cloth and minimal pressure. Use liquid only when the manufacturer permits it, applying the approved amount to the cloth rather than spraying the device. Household glass cleaner, abrasive pads, and alcohol or disinfectant outside the approved specification can damage coatings and seals.

Keyboards, mice, remotes, and control panels also vary by model. Remove loose debris with the method in the manual, and keep moisture away from keys, seams, ports, and charging contacts. For each category, name who may clean it, the approved method, whether shutdown is required, and where manufacturer guidance lives. A cleaner’s access to the room does not authorize access to the device.

If ownership or instructions are unclear, the default should be clean around it and notify the designated contact. This avoids turning a presentation task into an interruption, warranty issue, or data incident. Review the list after equipment refreshes, office moves, accessibility changes, and vendor transitions, retiring old instructions before a visually similar replacement inherits an incompatible routine.

IT should determine whether a device stays active, locks, signs out, sleeps, powers down, or disconnects before exterior cleaning. Some equipment supports remote workers, updates, security monitoring, recording, transactions, or building operations after the visible user leaves. Pressing a power button or removing a cable can interrupt more than the local screen suggests.

Schedule approved device care during a defined service window and identify the contact who can release managed equipment. Cleaners should not request or retain passwords, unlock devices, dismiss alerts, accept software prompts, or use an employee account to reach a surface. Use a simple release status managed by IT or the device owner, so an unavailable workstation is recorded as deferred rather than interpreted from a dark screen or empty chair.

When a safe shutdown is required, the authorized user or IT team performs it and confirms when equipment may return to service. Keep power supplies, battery backups, network devices, floor boxes, and cable wells outside janitorial handling unless a specific technical procedure says otherwise. If a device is hot, swollen, wet, sparking, damaged, unusually noisy, or emitting odor, stop nearby work and follow the workplace’s electrical and emergency response.

Do not move it to a cleaner-looking area, cover it, or place it in ordinary waste. A prompt technical escalation protects people and preserves information that may help identify the fault. Train the team to report observed condition, exact location, surrounding exposure, and access boundary without diagnosing a battery or electrical failure or taking an unnecessary photograph of the equipment.

Use a clean, dry, nonabrasive microfiber cloth first, with the light pressure specified by the manufacturer. If liquid is permitted, use only the approved product and amount on the cloth, never directly on the device. Keep moisture away from bezels, ports, speakers, microphones, camera openings, buttons, card readers, and seams.

Paper towel, household glass cleaner, abrasive pad, and an unapproved alcohol or disinfectant can scratch, haze, strip coatings, or enter the enclosure. Frequent touch does not make compatibility optional. Separate cloths and permitted products by device family, label their instruction source, and remove a cloth from service when grit, residue, damage, or uncertain prior use makes it unsuitable.

Inspect without diagnosing. A persistent mark may be residue, coating wear, pressure damage, a scratch, internal display change, or adhesive from a privacy filter. Do not increase force or repeat chemistry to chase it. Note cracked glass, lifted film, loose mounting, dead areas, discoloration, or an unstable stand for IT or the equipment owner.

Privacy filters and removable accessories should be handled only under their instructions and assigned ownership. Let every approved surface dry before power or normal use resumes, and use good room lighting rather than a flashlight pressed close to the screen. The objective is ordinary exterior care, not a promise to restore a worn display. Describe the mark’s position and appearance from normal viewing distance, giving IT enough context to inspect it without asking the cleaner to test pixels, touch response, ports, or software.

Handle keyboards, mice, phones, and meeting controls conservatively

Remove loose surface debris with the user-safe method in the equipment manual after IT has prepared the device. A soft brush may be appropriate for some keyboards; other models restrict tools, key removal, or compressed air. Keep all moisture out of key gaps, scroll wheels, ports, charging contacts, speaker grilles, and handset openings.

Do not turn a keyboard upside down over another workstation or vacuum it with an unapproved nozzle. Sticky residue, liquid beneath keys, damaged cables, and mechanical faults should be referred to IT or an authorized repair provider rather than worked repeatedly during a commercial cleaning round. Provide model-appropriate tools through a controlled kit rather than allowing workers to improvise with desk supplies, personal wipes, air cans, pins, blades, or attachments borrowed from general floor care.

Meeting-room remotes, touch controllers, shared phones, and presentation buttons need the same device-specific care. Do not press controls to confirm they are clean, alter room presets, erase a whiteboard, or disconnect a conferencing accessory. IT owns function testing and can decide whether an approved wipe is compatible with the surface.

Headsets, microphones, wearable devices, and accessibility equipment may be personal or require a dedicated process; leave them with the user unless the workplace policy clearly assigns handling. Cleaning the table, chair, and surrounding room does not expand authority over every object placed there. Assign fixed landing positions only for approved shared controls and show them in the room standard, preventing a neat-looking rearrangement from hiding a remote, changing accessibility, or confusing the meeting-support team.

Set frequency from use without making health promises

05.1

The organization should select frequency based on device sharing, manufacturer tolerance, workplace policy, actual soil, and the ability to complete the approved method. A fixed weekly or after every meeting rule may be unnecessary for one device and damaging for another. Provide clearly labelled, compatible supplies for users when self-care is part of the plan, and prevent general-purpose wipes from migrating to restricted equipment.

Replace cloths before trapped grit can mark a screen and store products away from heat, electronics, and public access. More frequent wiping is not automatically more hygienic or more protective if contact time, compatibility, and clean tools are ignored. Review the cadence when occupancy, shift patterns, event use, equipment assignment, or manufacturer guidance changes, favoring an achievable approved process over a prominent schedule that workers cannot safely complete.

Describe the purpose accurately. Routine exterior cleaning can remove visible oils and soil; disinfection is a separate product-led process selected by the workplace for an identified need and compatible device. Avoid promising germ-free equipment, reduced illness, longer device life, or improved performance without appropriate evidence. Hand-hygiene and occupational-health policies belong to the organization and qualified advisers, not a marketing claim attached to a cleaning schedule.

Facilities can monitor whether the agreed process is practical and whether users have what they need, while IT monitors hardware condition. Each team should evaluate its own outcome instead of assigning a single metric to a shared surface. Keep facilities completion records separate from IT condition records and organizational health programs, allowing each owner to act on relevant evidence without using cleaning notes to imply technical or clinical outcomes.

Document exceptions and keep technical work with technical teams

06.1

A useful service note identifies the device category, approved task completed, item left untouched, visible damage, access limitation, spill, or technical escalation. It should not include screen content, usernames, serial numbers unless required by asset policy, camera views, customer information, or photographs taken without authorization. When a workstation remains occupied or covered with sensitive material, record the area as inaccessible rather than moving it. Review recurring exceptions with IT and facilities so the policy, schedule, or user preparation can change.

This feedback loop improves service without asking a cleaner to police employee behavior or interpret data-security rules. Group exceptions by access, ownership, instruction, condition, or scheduling need, then close each with the responsible function rather than carrying vague unresolved notes from shift to shift. Set a review owner and response window for each category, archive resolved notes through the workplace process, and revise the touch matrix when a decision changes future work. This turns exceptions into controlled operational learning without creating a shadow asset database, employee record, or security log inside the cleaning system.
